SALARY: $37,000/annually

The Administrative Services Director is responsible for planning, directing and coordinating member services and member service staff, child watch and summer camp staff, overall branch record keeping, data collection, mail distribution and other administrative office support services.

SUPERVISORY RESPONSIBILITY: Responsible for supervision of Member Services, child watch and summer camp staff.

ESSENTIAL FUNCTIONS:

  1. Serve as a role model to members and Y staff and at all times live the mission, vision and values of the YMCA movement.
  2. Maintain and update all computer database records and programs, specifically membership records.
  3. Hire, train, supervise and appraise member services, child watch, custodial and summer camp staff.
  4. Perform daily cash reconciliation and process bank drafts.
  5. Perform general administrative duties association with daily branch operation; process new hire paperwork, maintain training records and other HR administrative responsibilities.
  6. Ensure that the member experience is consistently meeting or exceeding member expectations.
  7. Teach and delegate appropriate responsibilities to Member Service Representatives.
  8. Provide extraordinary service and responsiveness to member and guest needs.
  9. Ensure Member Service Representatives are performing essential duties and responsibilities outlined in their job description(s) and assist with problem resolution.
  10. Assist the Executive Director in recruiting, retaining, and recapturing YMCA members.
  11. Assist in coordinating and planning of Member Appreciation Events, promotions and campaigns.
  12. Develop and maintain Member Services staff schedule.
  13. Prepare and distribute Tour thank you notes, new member welcome letters and new member information packets.
  14. Report member and guest comments, suggestions, complaints, concerns, and problems to supervisor in a timely manner.
  15. Ensure that YMCA Membership's Best Practices are adhered to.
  16. Maintain a high-level first impression by a clean, clutter-free, and attractive reception area and lobby.
  17. Complete records and reports as required on schedule and submit them to supervisor.
  18. Provide training in character development for staff and ensure that the principle of character development is communicated and targeted to members.
  19. Process, reconcile and submit payroll to corporate office in a timely manner.
  20. Assist Executive Director with annual budget preparation.
  21. Assist with financial operations including purchase order appropriation and processing of accounts payable.
  22. Participate in and solicit others to participate in necessary YMCA financial development efforts, specifically the Annual Campaign.
  23. Maintain certifications listed under Certificates and Other Requirements.
  24. Adherence to all policies and procedures of YMCA of the Iowa Mississippi Valley.
  25. Understand and follow all safety rules and regulations including knowledge of emergency procedures and location of emergency equipment.
  26. Regular and timely adherence to respective schedule/meetings.
  27. All other duties as assigned by the Executive Director.

EDUCATION AND EXPERIENCE REQUIREMENTS:

  1. Minimum of an Associate Degree or equivalent in office management, customer service or related field.
  2. Requires prior experience and knowledge of office software and machines with a proficiency in Microsoft Office Suite applications.
  3. Minimum two years prior administrative and customer service experience
  4. Must possess excellent written and verbal communication skills and be familiar with office processes and procedures.
  5. Ability to work with integrity, discretion and a professional approach.
  6. Must be a self-starter and possess the ability to work with minimal supervision.

CERTIFICATIONS AND OTHER QUALIFICATIONS:

  1. Must be able to pass background check
  2. CPR/First Aid/AED certification*
  3. Mandatory Reporter*

*Note: If not currently certified, must obtain certification within 30 days of hire. The * noted certification training programs are provided by YMCA staff.

PHYSICAL DEMANDS: While performing the duties of this job, the employee is frequently required to sit for great lengths of time; use hands to finger, handle, or feel; reach with hands and arms; talk and hear. Position may require some periods of standing and walking. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.

WORK ENVIRONMENT: While performing the duties of this job, the employee primarily works in an office environment but is occasionally exposed to moving mechanical parts associated with fitness and commercial cleaning equipment. The noise level in the work environment can vary from quiet to moderate during office ours and moderate to loud during event hours. This position works a standard work week, but additionally may be required to work evening, weekend, and additional ours to accommodate job responsibilities and when representing the organization and events.
